EDI helps Finnfoam provide better customer service

Finnfoam is a renowned Finnish brand specializing in high-quality plastic thermal insulation materials for the building industry. UAB Finnfoam manufactures and sells Finnfoam products to 80 customers across the Baltics – Lemora, Kesko Senukai, Makveža, Jungtinis tiekimas, Bikuvos prekyba, Kurši, Optimera and others. To supply products to 350 shops and warehouses, the company needs to process more than 1000 orders per month. As this places a big burden on its employees, Finnfoam started to look for IT solutions to automate its sales processes.

Rūta Čaplikienė, the logistics manager, recalls the journey: “It was 2018 when our company first heard about EDI (electronic data interchange). We were happy to learn that the majority of our customers were already using EDI. We conducted market research and received several proposals from local EDI service providers. We picked Telema as our partner for various reasons, but the deciding factor was the partner count available in the Telema network. We started our cooperation at the end of 2019”.

Finnfoam is using MS Dynamics Navision supported by Softera. Orders from Finnfoam customers are now seamlessly imported into their warehouse management system, and invoices are sent out with just one click. Implementing EDI module into Navision went smoothly, after solving some challenges related to inadequate product data at customers (codes, units of measurement).

“After we clarified the product data issues and were able to start EDI, the real benefits became quickly apparent. Automation is saving us at least 100 hours of manual data entry work per month. As we have currently digitized about 40% of our total order volume, it is easy to see that the total savings could be 250 hours per month. Our company can definitely use this time to provide better service to our clients,” comments Ms. Čaplikiene.

“Regarding our future plans – we will continue onboarding new customers to EDI to get even more valuable time savings from the Telema EDI solution. We are also considering the possibility of implementing the same solution with our parent company Finnfoam OY. This would enable us to automate also our purchase processes in the supply chain,” summarizes Rūta Čaplikienė.
