RIMI AND PRISMA E-INVOICES PROJECT UP AND RUNNING


As large retail chains in the Baltics seek to improve the effectiveness of their supply chain processes, they increasingly turn to implementing Electronic Data Interchange (EDI). The first step in the process is usually implementing the EDI of purchase orders, the next step - EDI invoices. In 2010, the majority of Estonian retail stores preferred electronic ordering while the implementation of e-invoicing is still in the beginning phase for most. Prisma and Rimi are the innovation leaders in EDI invoicing. Rimi planned to achieve transfer to 50% e-billing by the end of 2010 and Prisma Estonia was at 75% e-invoicing capacity at the end of 2010.

COCA-COLA JOINS TELEMA SYSTEM


In December 2010, Coca-Cola begun to receive EDI orders through the Telema system. Telema is proud to announce that as Coca-Cola HBC Estonia AS joined the EDI system, about 95% of Estonian trade is connected to Telema. The Telema system is used by over 2600 stores and approximately 900 suppliers in the Baltic States, creating about 30 000  e-supply links. The most common documents are e-orders and e-invoices, but e-delivery orders, e-shipment orders, and other trade documents are exchanged.


Telema as an EDI operator is responsible for the document transfer (addressing, validating user rights) and processing (conversion from one format to another). This means that the company joining the system will be able to send and receive documents from all its network members through a single interface. The main advantages of EDI are expeditiousness, reduced errors, shorter supply cycle times, and improved availability of goods to the end user. This of course means a substantial financial gain for the e-documentation user.

TELEMA IN LATVIA AND LITHUANIA


LITHUANIA

  • During 2010, we connected 81 new clients in Lithuania. Most of them were suppliers of major retail chains. We are proud to announce that Telema has reached 75% increase in number of clients in Lithuania in 2010.
  • More than 420 shops and 200 suppliers now use Telema system in Lithuania. The most common documents are e-orders and e-invoices. E-delivery orders and other trade documents are exchanged too. During 2010, the number of documents exchanged increased by 101% in Lithuania.

LATVIA

  • In 2010, Telema Latvia branch had remarkable growth. During 2010, the number of documents per month grew by 200%, monthly revenue by 100%. December 2010 was first month in company history when a single Latvian customer had more than 10 000 documents per month.
  • In 2010 for Telema Latvia branch it was not only year of growth, it was an international development year as well. For Latvian retailers Telema now has connected suppliers in Poland, Netherlands, Czech Republic, Italy, Greece, Bulgaria, France and Spain.

TELEMA CLIENTS RATE COMPANY SERVICES AT 8.2 OUT OF 10


In 2010, Telema conducted its first customer satisfaction survey using the Net Promoter Score (NPS). We received feedback from 275 clients, which constitutes an excellent participation rate. We were pleasantly surprised to find that many of our clients had taken time to also answer the optional commentary space to provide us with valuable feedback. On the scale of 10, our service received a high 8.2 average rating, and we consider this a huge success. Customer satisfaction surveys will now become an annual undertaking.

NEW CLIENTS

In 2009, companies from Poland, Greece, and the Netherlands joined the Telema system, and in 2010, new clients joined from Bulgaria, Czech Republic, and Italy. By the end of 2010, Telema had clients from 12 different countries. During 2010,over 350 suppliers and about 500 new stores joined the Telema system, increasing the contractual client base by a notable 70%.

Please check whether the list of newcomers includes your business partners, and please let us know in the case it is so. TELEMA SUPPORTS TEDx TALLINN


TED (Technology Entertainment and Design) is a global set of conferences for disseminating "ideas worth spreading." Along with two annual conferences in Long Beach and Palm Springs (USA) each spring, and the Oxford (UK) each summer, TED includes the TEDTalks video site, the Open Translation Project and Open TV Project, TED Fellows and TEDx programs, and the annual TED Prize. On 25 May  2010, TEDx Tallinn took place and Telema took to the conference 10 boxes of "Telema wine", intended to liven the post-conference discussion. Telema’s donation received rave reviews.

TERE, JUNGENT, AND TALLINK "SUCCESS STORIES" PUBLISHED

In 2010, several case studies regarding the advantages of using Telema services were published. These stories describe the “before” and “after” situations, first describing the starting position of the company before Telema system was implemented, and the challenge they were facing.  Then, the solution and the benefits of switching to Telema services is described. Tallink e-ordering story features a buyer’s viewpoint, considering also the functionality of automatic matching of orders to invoices. Tere case describes the use and advantages of EDI basic services from the viewpoint of a supplier. Jungent success story is devoted to the MMT service of Telema and the value created through that. Success stories are published also on the Telema website.

ECR ANNUAL FORUM IN RIGA (11 Nov 2010)


Each fall, Efficient Consumer Response (ECR) Baltic Forum organizes a conference to discuss the retail and logistics trends in the Baltics and around the world. The main goal of the conference is to encourage the diffusion of best practices of the retail and logistics sector in the Baltics. The event provides one of the few opportunities to meet both your business partners as well as competitors, in order to exchange thoughts and opinions.

 
Telema has been an active member of ECR Baltic Forum, helping with the organization of the conference and providing financial support. Participation of the conference reached a record high of over 200 people in 2010. In addition to many other interesting presentations, Telema CEO Hele Hammer spoke on „E-invoices in Baltic retail: requirements, progress, and challenges“. ECR Baltic is a local ECR initiative in Estonia, Latvia, and Lithuania. It is a non- commercial, non-profit voluntary and informal cooperation platform to promote and educate the business community in the Baltics about ECR and help develop the FMCG sector.

ESTONIAN ÄRIPÄEV FINANCIAL MANAGEMENT HANDBOOK CHAPTER ON E-INVOICES


Telema CEO Hele Hammer was asked to write two chapters for the Äripäev Financial Management Handbook (ca 40 pages) on the automation of accounts payable (e-invoices). The topics covered include EDI standards, the extent of EDI invoicing in the various countries around the world, problems encountered in the implementation of EDI billing, software of invoice digitalization, and the possible cost benefits of EDI implementation. For the first time, a comparative table of Estonian e-invoice service service providers is published.

TELEMA JOINS ESTONIAN TRADERS’ ASSOCIATION


Telema joined the Estonian Traders’ Association in November 2010. Estonian Traders' Association was established in April 1996 to represent the common interests of the members, to promote fair and balanced trade traditions and also to establish contacts with other associations in Estonia and abroad. Telema is excited to join the association in its efforts of developing the entrepreneurial environment in Estonia.

TELEMA RECEIVES PRODUCT DEVELOPMENT GRANT FROM ENTERPRISE ESTONIA


In June 2010, Telema was awarded a grant for a product development project that has been in preparation for almost a year, “CREATION OF A NEXT GENERATION B2B NETWORK FOR E-DOCUMENTS”. This means that with the help of Enterprise Estonia, Telema will invest approximately €1.6 million into innovative document exchange environment development over the next 3 years.

TECHNICAL ISSUES


  • LOGIN TO TELEMA WEBSITE NOW POSSIBLE WITH ID-CARD
    • In response to the wishes of our customers, Telema added Estonian ID-card identification as a service web login option. You can connect your user account and your ID-card in our service web. 
  • VALIDATORS AND USER MANUALS
    • As of 2010, Telema deployment team has expedited interfacing with Telema through automatic validators. Your IT support can now test the created export files through our validator. In addition to test servers, we plan to implement validators also on the production servers.
  • INTERFACE WITH AS2
    • In 2010, Telema completed the interface with AS2 channel. AS2 is among the most widely used system interfaces in Europe. If you would like to start using an AS2 channel, please inform our technical support of your wishes. 
  • CHANGING BUSINESS SOFTWARE
    • As a reminder to all our clients—if you change or update your business software, please inform Telema of your intentions as soon as possible (our contract specifies a minimum of 14 days).  We had a few unfortunate instances in 2010 where the client's orders and invoices were not reaching their partners, as during change of business software, the interface to Telema was forgotten to be updated. In order to prevent similar scenarios from recurring, please make sure to inform us about your pending software updates in advance, so that we can help you harmonize the upcoming changes with your Telema interface.
  • KEEP YOUR USER ACCOUNT SECURITY FEATURES SAFE
    • Both the user name for your account and password are personal, and they should not be passed to anyone else in the company, or left unattended. The misuse of your user account may have serious unwanted consequences for your business!

NEW EMPLOYEES AT TELEMA


As our clientele grew
substantially in 2010, we correspondingly expanded our team. 

 

In March, Delerin Urbus joined the Telema team as a sales assistant. Her previous sales assistant experience of 4 years has been accompanied by her interior design hobby and other activities that require both creativity as well as a sense of beauty. Delerin's main responsibility at Telema is customer administration and support as well as consulting new clients and arranging the sales contracts.

 

Martin Valler has been the member of the development team since August. He previously worked as a software developer in LHV Bank. Martin received his Master's degree from the Estonian Business School. He enjoys dancing, reading, swimming and foreign languages. In Telema, his main responsibility is software development.


Since September, Raul Silde is our IT Project Manager. For the last 5 years, Raul worked in Ektaco AS, starting as a technician and advancing to the position of the head of department of access systems. Raul graduated from Tallinn School of Economics with a major in information technology. Raul plays the trumpet, enjoys volleyball, soccer, hiking, and other sports. Raul's main responsibility at Telema is managing the new client activation projects. 


Priit Vakkum joined Telema in November as the Export Manager. He worked as the country manager for Rautakirja Romania for the past 3 years, and as the CEO of Lehepunkt Ltd. the preceding 7 years. Priit graduated with a business administration degree from the Tallinn Technical University Department of Economics. When not working, Priit enjoys many sports, travelling, and hiking. Priit's main responsibilities at Telema are the coordination and support of the activities of our Latvian and Lithuanian offices, and marketing and sales in the Baltic States.

 
In December, Jürgo Preden joined Telema on part-time basis. Jürgo earned his Doctoral degree from the Tallinn Technical University and works full-time as a research scientist in the Tallinn Technical University, and CTO of Defendec. At Telema, Jürgo will help lead the product development project and the creation and implementation of the development process. 

 
As the new Aftersales Director since December, Tarmo Tamm will be ensuring the continuous improvement of our customer service. During the past 5 years, Tarmo has worked for the management consultancy companies Hansaconsult LLC and Deloitte Advisory Ltd. Previously he was the head of IT in Põlva County Government. Tarmo has a Master's degree in IT management from the Estonian Business School. His interests include psychology, philosophy, economics, history, travelling and photography. The main responsibilities of Tarmo are the creation and implementation of customer service processes at Telema, and ensuring the smooth operation of Telema services.
